Who we are
The legal business name of the seller is Vet Bites, based in the United Kingdom. Vet Bites is the data controller for the personal data described here. Contact: contactvetbitesteam@gmail.com.
What we collect and why
- Account details (name, email, password credentials) — to create and secure your account. Legal basis: performance of our contract with you.
- Tutoring request details (phone number, university, year of study, species and topics, exam dates, availability, and for under-18s a parent or guardian’s name, email, phone and consent) — to match you with a suitable tutor and to safeguard young people. Legal basis: contract and our legitimate interest in safeguarding; consent where a parent or guardian gives it.
- Tutor application details (qualifications, university, experience, DBS certificate evidence, profile photo and biography, bank details) — to check suitability, publish your profile and pay you. Legal basis: contract, legal obligation and legitimate interest in child protection.
- Messages you send through the inbox — to run sessions and to investigate safeguarding or conduct concerns.
- Usage and technical data (pages visited, device information, IP address, log data) — to keep the service secure, prevent fraud and improve the product. Legal basis: legitimate interests.
- Waitlist email addresses and species interest — to tell you when revision material opens. Legal basis: consent.
Who we share it with
- Hosting, database, email delivery and analytics providers acting as our processors.
- Paddle.com, our Merchant of Record, for the sale of our products, subscription management, payments, tax compliance and invoicing.
- The tutor or student you are matched with — they see the details needed to run the session (first name, session topic, date and time).
- Professional advisers (legal, accounting) where needed.
- Authorities, schools or guardians where safeguarding or the law requires it.
We never sell your personal data.
International transfers
Some of our providers process data outside the UK/EEA. Where they do, we rely on UK adequacy regulations or Standard Contractual Clauses with appropriate safeguards.
How long we keep it
Account and tutoring records are kept while your account is active and for up to six years afterwards where we need them for tax, legal or safeguarding reasons. Waitlist emails are deleted on request or when the waitlist closes. Anything we no longer need is deleted or anonymised.
Security
We use appropriate technical and organisational measures, including encryption in transit, access controls and row-level database permissions, so that only the people who need your data can see it.
Cookies
We use essential cookies to keep you signed in and to secure the site. Any analytics cookies are used only to understand how the site is used. You can manage or clear cookies in your browser settings; blocking essential cookies will stop you signing in.
Your rights
Under UK GDPR you have the right to access your data, correct it, have it erased, restrict or object to its processing, receive it in a portable format, and withdraw consent at any time. Email contactvetbitesteam@gmail.com and we will respond within one month. You can also complain to the Information Commissioner’s Office at ico.org.uk.
